Role Overview
We are a growing International Fintech organization looking for an Office Administrator to oversee the successful day-to-day operations of our major hub in Manila.
Join our dynamic team of ~200 professionals based in the Makati Central Business District. As the Office Administrator, you will play a pivotal role in ensuring seamless office operations and serve as the primary point of contact for all facility-related matters for our employees. Your contributions will enhance our employer brand in the Manila market and elevate employee engagement levels through close collaboration with our local management team. Additionally, you will be an integral part of a dynamic and innovative global workforce.
We are made up of high performing teams that meet in person to learn and collaborate as needed. This role is based full-time in the Makati- Office. Work From home available on an ad hoc basis.
Responsibilities
- Manage the day-to-day office operations, including maintenance, improvements, and recycling initiatives.
- Supervise and assign tasks to administrative staff responsible for office maintenance and operations.
- Regularly monitor inventory of pantry and office supplies; create purchase orders as needed.
- Coordinate invoice approvals and ensure accurate and timely expense reporting.
- Ensure compliance with Health and Safety procedures within the office.
- Maintain relationships and contracts with vendors, service providers, and building administration.
- Forecast and manage the office budget, ensuring financial accuracy and adherence to reporting deadlines.
- Plan and execute company social events and employee appreciation initiatives.
- Create and maintain an excellent work environment that supports employee well-being and engagement.
- Handling travel arrangements and accommodations for the visitors, including providing support on visa applications.
- Facilitate office communications for both local and regional staff.
- Support communication efforts across the APAC region by sharing information about events and developments.
- Drive local initiatives aligned with the global company strategy.
- Assist HR and other departments by addressing administrative needs and providing ad-hoc support as required.
- Perform other administrative tasks as needed to support overall office operations.
Your profile
- 3 to 5 years of experience in a similar role
- Excellent presentation, communication and collaboration skills
- Organized and structured, with great attention to details and comfort with information tracking tools (excel, Mic Suite, etc.)
- Capacity to prioritize and adapt to changing requirements
- Possesses strong creative thinking skills that drive original ideas, strategies, and approaches to improve processes, deliver impactful, forward-thinking solutions.
- Positive mindset and problem-solving attitude
- Good capacity to work under pressure
- Active listener
- Fluent in English
This role is considered on-site, which means you’ll be assigned to a Manila Broadridge office.
